Processing of Electronic Theses, Dissertations, MBA Professional Reports and Joint Applied Projects

Welcome to the NPS Electronic Theses, Dissertations, MBA Professional Reports and Joint Applied Projects Website (ETD). We developed this site to provide you with the information you will need to submit your thesis electronically. Information is also provided on thesis proposals, extensions, typists, and where to go for help.

General Information

The Thesis, Dissertation, MBA Professional Report or Joint Applied Project is the capstone achievement of the student's academic endeavor at the Naval Postgraduate School. Thesis and report topics address issues from the current needs of the Fleet and Joint Forces to the science and technology required to sustain long-term superiority of the Navy/DoD.

Students, with their faculty advisors, provide a unique capability within the DoD for addressing warfighting problems. This capability is especially important now, as technology in general, and information operations in particular, are changing rapidly.

To facilitate the delivery of the student's Thesis/Dissertation or Report and keeping with the IT environment in which we live today, NPS has continually strived to develop a timely and cost effective method for reviewing and disseminating Theses, Dissertations, MBA Professional Reports and Joint Applied Projects. NPS Theses, Dissertations, MBA Professional Reports, and Joint Applied Projects will be distributed by e-mail to the distribution list provided with the thesis and Special Abstract. Your Thesis/Dissertation/Report will be archived electronically at NPS Dudley Knox Library and the Defense Technical Information Center (DTIC), unless it is Top Secret.

Proposals

Theses/Dissertations/MBA Professional Reports/Joint Applied Project Proposals are required by each curricula. See your Program Office for Proposal Form.

Workshops

Several workshops will be held each quarter to assist the student in:

  • Learning about the ETD process and the general requirements for processing hisi/her Thesis/Dissertation/MBA Profession Report/Joint Appplied Project
  • Learning to use the NPS templates

All students must attend the General Workshop. The workshop reviews the overall process and prepares the student for the task. Students are strongly encouraged to use the template for typing their paper and should also attend the NPS Template Workshop to learn how to use it. Problems with the template are easily avoided by learning how to use it properly.

SharePoint:

All resident students are required to use SharePoint, which allow students, advisors and the thesis processors easy access to their paper. At the beginning of the final quarter, students will receive an e-mail providing them with a SharePoint account (URL).

SharePoint is optional for all Distance Learning students but highly encouraged. Information is provided in the SharePoint Thesis Specific link below.

Typing Your Thesis / Dissertation

Thesis Preparation Manual (ms word doc)

Format: An Information Sheet on the recommended format for your Thesis/Dissertation if not using template.

Thesis Order: All Theses/Dissertations are to be submitted in this prescribed order.

Special Abstract/Distribution List: A Special Abstract with the email addresses of the recipients of your thesis will be provided to assist in the electronic distribution.

DTIC Criteria for Distribution Statement: This link is from the Defense Technical Information Center (DTIC). The distribution statements are explained in detail and list the required “reason” to be given for a restricted thesis. DTIC will only accept the reasons listed, so read them carefully.

Formatting References: APA, Chicago, MLA, IEEE Citation Style and Library URL for citation styles

Help with MS Word Templates and MS 2007 Word Templates :
Beginning and Advanced guidelines when using MS Word and MS 2007 Word. How to insert high resolution figures or graphs to make file size smaller. Converting Word files to work with XP / Windows 2000.


Computer Labs

All Labs are equipped with Word 2003. Microsoft Office 2003 can be checked-out from the Help Desk for loading on home/office computers.

If you are experiencing problems in a lab, please email the Help Desk or call x1046 with location of lab and specific problem encountered.

For help with Editing or Formatting, please contact the Thesis Office. International students will be reimbursed for typing and/or editing expenses. All others must pay out of pocket.

Forms

Release Form: The Release Form is required upon final submission of your Thesis/Dissertation/MBA Professional Report or Joint Applied Project to the NPS Thesis Processor. All sections must be completed and all signatures obtained. These forms can be completed online, saved, and printed. Please bring the original of the completed/signed Release Form and Signature Page to the Thesis Processor after you have received notification from your reviewer that the final version has been approved.

Templates

The template can be a great tool for the formatting of your Thesis, Dissertation, MBA Professional Report or Joint Applied Project. Please note that advanced skills in MS Word may be required for template use. Training is available for all students. Students who choose NOT to use the template are required to review the NPS format requirements.

SharePoint Submission

Theses, Dissertations, MBA Professional Reports, Distributed Learning and Joint Applied Project


ETD Requirement

The final version of your Thesis/Dissertation/MBA Professional Report/Joint Applied Project will be in PDF format. Your advisor must approve the final PDF version before final submission to the Thesis Processor. Once submitted, the NPS Thesis Processor will notify you when the version submitted is approved.

Student Responsibilities:

  • E-mail your SharePoint URL to thesisdraft@nps.edu for review by NPS Thesis Processor . You will be e-mailed with comments within two days. Track Changes will be used in your document.
  • Incorporate changes/recommendations made by Thesis Processor. When editing is complete, send your processor your SharePoint URL again for one last review of final Word Document
  • After processor reviews the final Word version, you will receive an e-mail with instructions to convert to PDF and save to SharePoint.
  • Provide final PDF version to advisor if required by your department.
  • Download and complete Release Form (required), Signature Page (required), and Color Request Form (if required).
  • Obtain necessary signatures and approvals.
  • Complete Special Abstract to include email addresses (as shown) of those people on Initial Distribution List. Save as a separate Word document in SharePoint.
  • E-mail SharePoint URL to Thesis Processor who reviewed your initial draft for final version of PDF and the Special Abstract.
  • When e-mail response is received from Thesis Processor approving final version, bring signed Release Form and Signature Page to Thesis Processor.
  • Receive Green Card.


Creating the Distribution List

The Distribution List in your paper is the very last page with the following information. DTIC and the NPS Library are the first two unless you have an F Distribution Statement or your paper is Top Secret

City, State (DO NOT include street address or zip code)

Marine Core Students are required to include the following on their Marine Corps Distribution List.

Your Special Abstract will contain the email addresses of the recipients listed on the Distribution List in your paper. Do not include the email address of the NPS library or DTIC.

Converting to PDF

Your paper must be converted to a single PDF file before submitting to your thesis reviewer. Your advisor and Chair or Dean may require a copy of the PDF. Please check with your department. Your Signature Page and Release Form should be signed based on the final version of your document.

Extensions

If your paper is not completed and signed one week after graduation, an Extension Form must be completed and returned to your Program Officer or Academic Associate.
