Pre-Departure Checklist
Before you leave NPS, there are a few things you need to do in regard to your computer accounts. This checklist will keep you from overlooking important details, and make sure you have everything you need.
1. Unsubscribe from all mailing lists, distribution lists, and memberships that depend upon your current NPS e-mail address. It is difficult and time-consuming to get you unsubscribed once your account is closed.
2. Copy your files onto a Zip drive so you can take them with you. Get your thesis, your Contacts list, your Personal Address Book, and any other files that are important to you.
3. Transfer needed files for follow-on research to your thesis advisor or to the next student who will be working in your area of study. Files in your home directory will be deleted once your account is closed.
4. Set Out of Office Assistant. In Outlook, click Tools, click Out of Office Assistant. Click 'I am currently Out of the Office'. In the text box, type a message that will let correspondents know that you have left NPS. Give them your permanent ISP e-mail address, so they may contact you. Click OK to exit. You will be able to check your NPS e-mail via Outlook Web Access (OWA) for 30 days after your graduation date. You will want to access your e-mail occasionally (via <https://webmail.nps.edu> is a good way) and delete messages.
5. Let the Technology Assistance Center (TAC) know of any special needs you may have. Do you need your computer accounts to remain open while you finish your thesis? Are you going to be “stashed” at NPS for 6 months? Special needs require special notification. Call 656-1046 or come by Ingersoll Hall, Room 151 (the TAC).
6. Empty your Sent Items folder. Copies of your outgoing mail are kept in the Sent folder within Outlook. Select All and then delete. This frees up server space.
7. Delete unneeded messages from your Inbox. Cleaning up before you leave is courteous and prudent. It also frees up server space, which is shared by all users.
8. Empty your Deleted Items folder. This “empties the trash” of all the items you have cleaned up from other folders within Outlook.
9. Check Out! Don’t just leave without saying goodbye. You can check out in person at the Office of Student Services, He-33.
The Technology Assistance Center
is located in Ingersoll Hall, Room 151; phone 656-1046.
The staff at Information Technology and Communications Services thanks you for your cooperation in assuming personal responsibility for the proper closure of your computing accounts. We wish you well in your next assignment.
