In-processing Overview (CAO: 20231127)

For most of you, there are three entities you need to in-process with:

  1. Naval Postgraduate School - your school
  2. Air Force Institute of Technology, Civilian Institution Programs (AFIT/CI) - your ADCON
  3. 517th Training Group - your local area personnel/finance/comms/fitness/medical support

This is dependent on whether you are enrolled in a program that exceeds one quarter (more than three months) or is one quarter (just three months).  Select the appropriate tabs below for your situation.

For both groups, Air Force Element has an informal "in-processing" which involves a briefing during Orientation Day and joining our MS Teams group in the NPS.edu domain.

In-processing Programs

This pertains to students pursuing PhDs, Masters, and Certificate programs lasting longer than a quarter / three months (IDE, Meteorology, full 12-month FAO degrees, Contracting, etc.).

  • [Prior to arrival] Coordinate a Narrative-Only PRF with your losing organization
    1. Applies to Captains (with less than four years time in grade when formal training is complete), Majors, and Lieutenant Colonels.

  • [Prior to/After arrival] In-process Naval Postgraduate School
    1. Complete “Before Arrival”, “Day of Arrival”, and After Arrival” steps here: https://nps.edu/web/students/incoming-students
       
  • [Prior to arrival] In-process Air Force Institute of Technology, Civilian Institution Programs (AFIT/CI)
    1. Establish an account and log in to CI Portal here: https://cip.afit.edu/CIP/ 
      1. Your programmatic information should already be there.
      2. Select “Personal Information” near the top right and keep info current.
    2. Complete and upload the AFIT/CI checklist located in the CI Portal or also in the right drop-down menu.
      1. Most of the checklist will not apply.
      2. Upload a copy of your class matrix from PYTHON (the NPS student management system) as well.
        1. PYTHON is only reachable through the NPS intranet or remote access.
           
  • [After arrival] In-process 517th Training Group (Presidio of Monterey)
    1. Complete "517 TRG In-processing Worksheet for NPS" (located in the right drop-down menu) and email to 517trg.mps@us.af.mil.
    2. Complete the "517 TRG In-processing Guide" (located in the right drop-down menu).
    3. Update vRED via vMPF.
    4. Update LeaveWeb: AETC - Goodfellow - HC - DET ME02 AFIT
    5. Update LeaveWeb supervisor with "Lt Col James Lee" and use "Lt Col Jamie Porchia" as the backup approver.
    6. Ensure all your dependent information is current in DEERS: https://milconnect.dmdc.osd.mil/milconnect/
    7. Update your information in AFPAAS, as the area is prone to earthquakes and wildfires: https://afpaas.af.mil/
       
  • [After completing above checklists] Complete NPS AFELM in-processing screening
    1. Click here to go to NPS AFELM MS Teams tab "In-processing Screening".
    2. Complete the screening to go over often missed in-processing steps from previous years.

This pertains to students pursuing Certificate programs lasting one quarter / three months (FAO certificate).

  • Your previous unit (DLI/311 TRS/314 TRS or home unit) will maintain ADCON of you.
  • Do-not
    • Do not transfer your GTC or medical records.
    • Do not in-process with urinalysis.
    • Do not in-process with AFIT/CI.
    • Do not transfer LeaveWeb unit.
    • Do not complete NPS-specific training requirements.
  • Do
    • Check in with NPS Student Services via email: sa@nps.edu.
    • Submit a request to miss muster for the duration of the quarter: https://nps.edu/group/student-muster
    • Maintain current cybersecurity training for access to NPS network.
    • Complete NPS security training IF you need access to secure areas.
  • If you are a DLI student in the Monterey area, you will not be in a TDY status and will not receive any additional allowances during your quarter.
  • If you are a TDY student that has traveled to the Monterey area, you will receive TDY allowance.
  • Your NPS accomplishments will be captured in an AF Form 77 (Letter of Evaluation) if you are attached to DLI or an AF Form 475 (Training Report) if you are on TDY.

  • Reference: DAFI 36-2406, 8.1.5.6.1., 8.1.5.6.2.
    • 8.1.2.1.: Prior to formal training, losing Senior Rater must complete a N-O PRF on all Lt Cols and below, regardless of promotion zone/opportunity with the following exceptions:
      • Lieutenant Colonel selects
      • Captains w/ < 4 years TIG when training is complete 
    • 8.1.5.6.1.: Officers will not PCS w/o a N-O PRF being accomplished unless waivered by AFPC/DP2SPE
      • Out-processing requirement (PPC)
    • 8.1.5.6.2.: SRs will send N-O PRF NLT 30 days prior to PCS
    • Format per DAFI 36-2406, Table 8.1 
    • Don’t depart your current assignment without at least starting the N-O PRF!

  • NPS Dental Office @ Herrmann Hall 4th floor
    • Provides rudimentary dental care
  • Naval War College, College of Distance Education awards a Command & Staff diploma for taking four in-person classes here at NPS.  This fulfills JPME phase 1 requirements.
    • It does NOT give IDE distance learning credit.
  • These courses must be taken within the timeframe of your primary coursework as "overload" courses.  Work with your Ed-Techs and Program Officers to incorporate them.

  • California Medical (CAL MED) Detachment @ POM
    • No need to contact 517 TRG/OME to be gained into the medical system.
    • Contact Tricare West to switch your PCM & update DEERs to reflect your current location.
    • Contact the appointment line (866-957-2256) for any medical concerns.
  • USAF Medical Personnel (Bldg 830 @ POM)/517 TRG/OME
  • Dental: Check in 4th floor of Herrmann Hall (831-656-2477).
  • Dependents: Call TRICARE to assign to PCM (in nearly all cases, Gourley VA Clinic @ Marina)
  • Flight records: Contact 60OSSOSM@us.af.mil
  • Flyers are managed by the PCM (through CAL MED) and Travis AFB Flight Medicine Clinic will update the flying PHA.
