NOTE:
Renewals for items borrowed through Interlibrary Loan are determined by the lender - please request renewals through the
(logon required) at least three working days prior to the due date so that staff can pursue a renewal. Depending upon the
material, lending libraries generally grant renewals for an additional two to four weeks. For additional information, please
see our
Interlibrary Loan and Document Delivery Policy.
For general information and instructions about how to renew materials online, please see Online Renewal of Library Materials.
Items that may not be renewed online and that must be brought to the Circulation Desk include:
- Items that have reached the maximum number of renewals
- Non-circulating items that were lent to you for a short period under special circumstances
- Items borrowed for you through Interlibrary Loan (ILL)
- Items that have been recalled or that have holds placed against them may not be renewed
If the patron’s account is blocked for any reason, the System will not process an online renewal. Please see Online Renewal of Library Materials for more information.
Overdue Materials
Patrons with outstanding overdue items are blocked from borrowing other library materials until the overdue items are renewed,
returned or replaced.
Interlibrary Loan (ILL) materials which become overdue jeopardize our borrowing privileges with other institutions. ILL privileges
for eligible ILL users will be suspended and no further materials may be checked out until the overdue ILL item has been returned.
For additional information, please see our Interlibrary Loan and Document Delivery Policy.
Lost or Damaged Materials
It is the patron's responsibility to replace lost or damaged/destroyed Dudley Knox Library-owned items. If the identical item
is no longer available, an item of equal value in the same subject area may be accepted. Please check with Circulation staff
before ordering replacement items.
Replacement of lost or damaged Interlibrary Loan (ILL) items will be considered on a case by case basis with exact replacement of items the first course of action. Please note that many lending libraries charge a flat rate of up to $100
per item for lost or damaged materials. Please speak with ILL staff before replacing a lost or damaged ILL item.

All items are subject to recall after two weeks from the date of check out. Please note that all library materials are subject
to immediate recall if they are needed by faculty for course reserves. When an item is recalled, the user who has the item
is sent an e-mail notice requesting that the item be returned to the library within 24 hours. Please reply immediately to
recall e-mail notices if you are physically unable to return a recalled item (if you are TDY, a Distance Learning student,
etc.) or if you have questions or concerns. Failure to comply with a recall request may result in suspended Library privileges.
Holds placed through BOSUN (the online Library catalog) are automatically converted to recalls for all recall-eligible users. BOSUN
uses the term 'hold' for recalls; however, the Library differentiates between holds and recalls. HOLD means that a hold will
be placed on an item and when the item is returned, the requestor will be notified. If you are a recall-eligible user and
wish to have an item placed on HOLD rather than have it RECALLED, please contact the Circulation Desk, or stop by the Circulation Desk.
Please note that holds may not be placed on items that are available on the shelves (items that are not already checked out).
If you need assistance with locating an item, please see staff at the Circulation Desk.
Holds
HOLD means that a hold will be placed on an item, and when the item is returned, the requestor will be notified. A ‘hold’
is not a recall (see above) where an item recalled from the current user must be returned within 24 hours.
Holds may be placed by any Dudley Knox Library cardholder.
Please note that holds may not be placed on items that are available on the shelves (items that are not already checked out).
If you need assistance with locating an item, please see staff at the Circulation Desk.
Borrower Responsibility
The person to whom an item is checked out is responsible for the item until it is returned to the Library. Loaning a borrowed
item to another individual does not reduce the responsibility of the borrower to return/replace the item(s).
Non-Circulating Items
The following items are maintained for in-Library use only and are generally not available for loan/use outside the Library:
- Atlases and Maps
- Federal Documents: While most items are available for checkout, some portions of the collection do not circulate (non-circulating items are
labeled as such).
- Intelligence Collection: Most titles are also available in the Library’s (circulating) General Collection.
- Journals and Periodicals
- Microfiche and Microfilm: Microfiche/microfilm scanners and LaserJet printers are available for use in the Media Room. Scanners are connected to PCs
to enable the conversion of scanned items to PDF (using Adobe Acrobat). If you wish to use this feature, please provide CD-ROM
or USB Key (Thumb Drive).
- Reference Books
- Reserve Collection including Course Reserve Materials: Most items circulate for two hours in-library use only. Some items may be available for overnight to one-week checkout.
Requests to borrow non-circulating items for short periods of time will be considered on a case by case basis. Please see
Research Assistance or Circulation staff for assistance.
