Use of Library Conference Rooms by Non-Library Personnel

The Library's conference room (DKL 263) is primarily for use of Library staff. However, under some circumstances it can also be made accessible to the following groups in priority order:

  1. NPS faculty and staff on official business
  2. NPS students for presentations when coordinated with a faculty member
  3. Visiting groups to the school for official business

All non-Library personnel wishing to have access to the conference room need to contact the Library's Administration Office (x2341) to approval, to check on availability and to schedule the room. The conference room will not normally be available for non-Library personnel to use for regular (e.g., weekly) meetings, but rather for occasional meetings when other facilities are not available.

It is the responsibility of the meeting coordinators to supply any electronic and overhead projection equipment as well as large paper pads. The only exception to this is a transparency overhead projector that is permanently located in the Conference Room and is available for use by anyone. Users will need to provide their own laptops and overhead projectors can be requested from Audio Visual department (x2035) with 24 hours notice. In case of an emergency faculty, staff and visitor meetings can request the use of the Library overhead or laptop, depending on their availability.

Use of the Video Teleconferencing Equipment must be coordinated through the Office of Continuous Learning.

Conference room users are responsible for insuring that the room is left in good condition: that all paper cups, soft drink containers, papers, used flip-chart sheets and other extraneous materials are removed and properly disposed of and that the door is locked. Special care should be given to the finished wooden conference table to avoid watermarks, scratching or gouging of the table tops with exposed metal binder clips and/or other sharp items.
